Reporting to the Vice President of Finance, the Payroll Supervisor is responsible for the timely and accurate administration of payroll for 500 employees, maintenance of payroll records and reconciliations, and management of third-party payments.

Specific payroll responsibilities include:

  • Process payroll for 200+ salary and hourly staff using ADP Pay@work and People@work
  • Maintain up-to-date payroll records for all new hires, current and departing employees
  • Prepare and distributing T4 slips, T2200 and all year-end adjustments in a timely manner
  • Generate payroll-related reports, allocations, reconciliations and journal entries
  • Review and record employee leave entitlements such as vacation and sick time
  • Calculate and file corporate quarterly WCB premiums
  • Respond in a timely manner to payroll inquiries from associates and resolve all payroll issues
  • Supervise a small team and organize work for efficiency and service excellence
  • Lead implementation of new systems as required
  • Improve payroll processes
  • Calculate and process third party payroll billing as required
  • Flexible, adaptable and responsive to change

Specific benefits responsibilities include:
  • Maintain enrolment in company benefit plans working with Benefit team
  • Ensure accurate deduction schedules are established in the payroll system
  • Partner with HR regarding employee enrollment and coverage
Other responsibilities include:
  • Perform other duties as assigned to support payroll position


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill and/or ability required.  In addition, the successful candidate will possess:

  • Strong understanding of payroll regulatory requirements (Employment Standards Act of BC, Canada Revenue Agency, Worksafe BC, MSP)
  • Payroll Processing experience (Pay@Work and People@Work is mandatory, PCPW is benefit)
  • Possess strong attention to detail and highly analytical
  • Effective team supervisory skills and ability to contribute to a collaborative work environment with a commitment to working in cross-functional teams
  • Ability to initiate and manage people, payroll processes and payroll system implementations
  • Can prioritize and manage multiple projects and tasks, while working with the team and independently
  • Demonstrated ability to work quickly, accurately and independently
  • Ability to analyze/interpret data and take appropriate action
  • Strong organization skills, attention to detail and follow through to resolve issues
  • Excellent time management and prioritization skills
  • Superior communication skills, both written and verbal
  • Ability to foster effective relationships throughout the organization, with clients and vendors
  • Possesses strong customer service background


A minimum of three years’ payroll administration/accounting experience using ADP combined with a PCP or CPM designation and three years of supervisory experience is required.   Any ADP PCPW experience is a benefit.


• Practice and adhere to FirstService Residential Global Service Standards • Conduct business with the highest standards of personal, professional and ethical conduct • Participate in meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines as required • Ensure all safety precautions are followed while performing the work • Follow all policies and Standard Operating Procedures as instructed by Management • Perform any range of special projects, tasks and other related duties as assigned Supervisory Responsibility: Lead, mentor and coach the payroll team and provide day to day guidance and support.
